Getting Started with SAFER

Navigate to safer.fmcsa.dot.gov. The main page shows several tools. For carrier lookup, click "Company Snapshot" — this is the feature you will use 95% of the time. No account, login, or registration is required. SAFER is free and unlimited.

Three Ways to Search

By USDOT Number (Recommended)

The most reliable search method. Enter the carrier's USDOT number for an exact match. Every legitimate carrier knows their DOT number — if a carrier cannot provide theirs, treat that as a red flag. The DOT number is displayed on every commercial vehicle.

By MC/MX Number

Enter the carrier's MC number for an exact match. Useful when you have the MC number from a rate confirmation or broker packet. Note that FMCSA is phasing out standalone MC numbers in favor of DOT-based authority identification.

By Company Name

Enter the carrier's legal name or DBA. This can return multiple results if several companies have similar names. Use name search as a last resort when you do not have the DOT or MC number. Verify the correct company by matching the address and other details.

Always Use DOT Number When Possible

Name searches can return dozens of results. "Smith Trucking" returns hundreds of matches. DOT number gives you one exact result. Make it a policy to collect the DOT number from every carrier and broker you work with and use it for all SAFER lookups.

Reading the Company Snapshot Results

Entity Information — Verify Identity

Check the legal name, DBA, address, and phone number. Does it match what the carrier told you? Mismatches between claimed identity and SAFER data are a warning sign for fraud or identity theft.

Operating Status — Active or Not

Look for "AUTHORIZED For Hire" under operating authority. Anything other than "Authorized" means they cannot legally haul freight for hire. "Not Authorized" means do not book loads with this carrier.

Insurance — Properly Filed

Check that liability insurance shows as filed and current. Look at the insurance company name, policy number, and effective date. No insurance on file is an absolute dealbreaker — never book a load with an uninsured carrier.

MCS-150 Date — Is It Current?

If the MCS-150 date is more than 2 years old, the carrier has missed their biennial update and may be facing deactivation. A current MCS-150 date shows active compliance management.

Safety Record — Inspection and Crash History

Understanding Operating Status Codes

AUTHORIZED

The carrier has active operating authority. They can legally haul freight for hire. Proceed with verification of insurance and safety record before booking.

NOT AUTHORIZED

The carrier does not have active authority. Do not book loads. This could mean their authority was revoked, lapsed, or was never fully activated. They cannot legally haul freight for hire.

OUT OF SERVICE

FMCSA has issued an out-of-service order. The carrier cannot operate at all. This is more serious than "Not Authorized" — it typically results from serious safety violations or imminent hazard determinations.

PENDING

Application submitted but not yet activated. The carrier is in the 21-day protest period or waiting for insurance filing. They cannot legally operate yet. Do not book loads with pending carriers.

Checking Insurance Status

Insurance Status Can Lag Behind Reality

SAFER insurance data updates every 1-5 business days. A carrier whose insurance was canceled yesterday may still show as insured today. For high-value loads or new carrier relationships, verify insurance directly with the carrier's insurance company using the certificate of insurance they provide.

SAFER's safety section shows 24 months of inspection and crash data:

Red Flags to Watch For on SAFER

Authority status not "Authorized" — The single most important check. No active authority means no legal operations.

No insurance on file — Never book a load with an uninsured carrier under any circumstances.

Very new authority (under 90 days) — Not automatically bad, but combined with other red flags, could indicate a chameleon carrier or fraud risk.

MCS-150 date over 2 years old — Shows the carrier is not managing their compliance. Deactivation may be imminent.

OOS rates significantly above national average — Vehicle OOS over 30% or driver OOS over 10% indicate maintenance or compliance problems.

Safety rating of "Unsatisfactory" — The carrier failed an FMCSA compliance review and may face an out-of-service order.

Every load booking should include a SAFER verification. Build it into your standard operating procedure.
