Frequently Asked Questions

Real questions from owner-operators about which tools to use and how the math holds up.

Which calculator should I use to figure out if a load is profitable?

+
Two work together. Start with the Cost Per Mile Calculator to find your true breakeven number — that's the rate you can't go below without losing money on the load. Then use the Deadhead Miles Calculator to factor in empty miles between pickups; a $2.85/mile load with 30% deadhead is actually paying you closer to $2.00 per total mile driven. If both numbers still beat your cost per mile after fuel and depreciation, the load is profitable. The Fuel Cost Calculator covers the variable that changes most between trips.

What's the difference between the IFTA Calculator and the Fuel Cost Calculator?

+
They solve different problems. The IFTA Calculator handles your quarterly fuel-tax filing — it tracks miles driven per state, gallons purchased per state, and computes the tax owed (or refund due) to each jurisdiction. You use it once per quarter when you file IFTA. The Fuel Cost Calculator estimates the fuel spend on a single trip or load before you accept it — input the route distance, fuel price, and your truck's MPG, get an instant fuel-cost number to factor into your rate negotiation. Use the Fuel Cost Calculator daily when bidding loads; use the IFTA Calculator at quarter-end.

Are these calculators accurate enough to use for IRS taxes or IFTA filing?

+
The math is accurate, but you should always cross-check the per-state IFTA tax rates with your base state's published Q1 2026 rate schedule before submitting your filing — rates do change quarterly. Our calculator pulls the most recent published rates we can find, but if your state revises mid-quarter (rare but does happen), the official base-state report wins. For IRS Schedule C deductions on cost per mile, the calculator gives you a defensible number, but keep your actual receipts and fuel records as backup documentation.

Do I need to create an account or sign up to use these tools?

+
No. Every calculator on this page is free, no email required, no signup, no rate limits, no paywalls. We don't track your inputs to a profile. You can clear your numbers and start fresh anytime. We do offer optional dispatch services if you want a real human to book loads for you, but the tools work standalone — most owner-operators use them daily without ever talking to us.

Why should I trust a free tool from a dispatch company?

+
Honest answer: because the math is the same whether we charge or not, and broken calculators would damage our reputation more than they'd save us. We dispatch carriers daily across all 50 states, so we already had to build these calculators internally for our own operations team. Putting them on the website costs us nothing extra and brings owner-operators to our site who eventually become dispatch customers — that's the business model. The numbers don't change based on whether you become a customer.

Can I export my calculations to share with my accountant or save for tax season?

+
Yes. The IFTA Calculator and the two invoice generators (Trucking Invoice + General Invoice Maker) export to PDF for printing or emailing. The IFTA Calculator also exports CSV for accountants who prefer spreadsheet imports. The Cost Per Mile, Earnings, and Profit & Loss calculators currently print but don't export — bookmark or screenshot for your records. We're working on CSV export for the rest in the next update cycle.
